Terms and Conditions of Service – Shape Zone

Please review and ensure your understanding of the terms set out below, as they govern the services provided by Shape Zone. We reserve the right to modify these terms at any time, without prior notice.

 1. Policies and Therapist Assignment
All policies are available on our website and at the clinic. Our therapists are trained and certified according to Shape Zone’s protocols. Shape Zone does not guarantee treatment with a specific therapist for the duration of a treatment course, although clients may select a therapist, subject to availability.

 2. Appointments
– Arrival: Clients are required to arrive 15 minutes prior to their scheduled appointment to complete necessary paperwork. Late arrivals may result in reduced treatment time or forfeiture of the session, with full fees applied.
– Cancellations/Postponements: In the event that Shape Zone must cancel or postpone an appointment at short notice, we will make reasonable efforts to notify the client in advance.
– Preparation: Clients will be informed of any pre-treatment preparation. Failure to comply may result in appointment cancellation, reduced treatment time, or additional charges.
– Children: Children under 16 years old must be accompanied by an adult chaperone during the treatment session. Failure to provide a chaperone will result in the cancellation of the treatment and loss of associated fees or deposits.

 3. Booking of Single Treatments or Consultations**
– Deposit: A 50% deposit of the treatment value is required to secure an appointment. Clients with a history of two or more no-shows or late cancellations may be required to pay in full at the time of booking.
– Cancellations: Cancellations or rescheduling requests must be made at least 48 hours in advance. Failure to do so, under any circumstances including illness or COVID, will result in forfeiture of the deposit.
– Unclaimed Deposits: Deposits left unclaimed for over 12 months will be forfeited.

### 4. **Booking of Treatment Courses**
– **Payment**: Courses of treatment must be paid for in full prior to the first session.
– Expiration: Courses expire after a set period: Body Sculpting packages (2 months), Facial packages (3 months), and Laser packages (12 months). Unused treatments within these periods will be forfeited. Expiry extensions are available at £90/month.
– Cancellations: Failure to provide 48-hour notice for cancellations will result in the treatment being redeemed. Forfeited treatments can be repurchased at £90 per treatment.

5. Refunds
– Policy: All sales of treatments and products are final. No refunds are offered for completed services.
– Dissatisfaction: Clients with concerns about their experience may contact Shape Zone for resolution.
– Medical Exemptions: With valid medical evidence, clients unable to continue treatment may exchange remaining sessions for other services. The value of any exchange will be calculated by deducting completed treatments at full price and any missed appointment fees, plus a £20 administrative fee. Credit notes for remaining balances are valid for 6 months.

6. Liability
Shape Zone will not be held liable for any economic losses, including profit loss, or any special, indirect, or consequential damages resulting from the provision of services. Clients are responsible for disclosing relevant medical information prior to each treatment, and Shape Zone is not liable for any damages resulting from failure to provide such information. Clients must comply with all post-treatment care instructions.

 7. Use of Website and Price Lists
Shape Zone makes no guarantees regarding the error-free use of its website or communications. Any information provided is subject to change without notice, and Shape Zone is not liable for any damages arising from the use or inability to use the site.

8. Complaints Procedure
Shape Zone is committed to treating clients fairly and respectfully. Complaints can be made in person, by phone, or in writing. Shape Zone will assist with the complaint process. Complaints will be investigated, and a response provided within 20 working days. For treatment-related complaints, an additional consultation may be required with the relevant practitioner or Clinic Manager.

9. Discount and Voucher Codes
Discounts apply only to full-priced services and cannot be combined with other promotions or offers. Discount codes have no cash value, are valid only for single full-priced services, and cannot be applied after a booking is made.

Shape Zone reserves the right to modify these terms without prior notice. It is the client’s responsibility to stay informed of the current terms before engaging with our services.

Other Policies

Shape Zone reserves the right to refuse service to any customer at its discretion. However, in accordance with the UK Equality Act 2010, we will never refuse service on the basis of the following protected characteristics:

– Disability
– Gender reassignment
– Pregnancy and maternity
– Race
– Religion or belief
– Sex
– Sexual orientation
